Terms and Conditions

Welcome to Swan Studio. These Terms & Conditions (“Terms”) govern your use of our studio, services, classes, website, and booking systems (including third-party platforms such as In2). By booking a class, attending a session, purchasing a package, or entering our studio, you agree to be bound by these Terms.

1. General

1.1. Swan Studio is a female-only facility, and all clients must adhere to this policy at all times.
1.2. All clients must create an account and provide accurate personal information when booking classes or private sessions.
1.3. Swan Studio reserves the right to update or modify these Terms & Conditions at any time.

2. Studio Etiquette & Class Attendance

2.1 Arrival Time: Clients must arrive at least 5 minutes before the start of class. Entry will not be permitted 15 minutes after the class has begun, particularly for Reformer Pilates, due to safety and disruption risks. Late arrivals will be marked as no-shows and will forfeit their session.

2.2 First-Time Visitors: First-time clients are required to arrive 10–15 minutes early for a short induction. If you arrive late on your first visit, we may not be able to allow entry for safety reasons.

2.3 Footwear & Attire: Grip socks must be worn for Pilates. Clients without grip socks may be refused entry for safety reasons. Notably, socks must be worn in the studio at all times, particularly when dealing with the equipment and apparatus, for hygiene and sanitary purposes. For your safety and security, please ensure that your hair is tied up and all dangly jewelery is removed to avoid any injury.

2.4 Studio Conduct: We ask that all clients behave respectfully towards staff and other members. Any abusive, inappropriate, or unsafe behaviour may result in the termination of access to Swan Studio services.

2.5 Photography: Please refrian from taking photos in the studio as it can be distracting for others and can infringe on their privacy. Clients may not record instructors, classes or other clients without prior written consent and permission.

2.6 Mobile Phones: Please ensure that all mobile phones and devices are on silent to avoid disrupting the class flow.

3. Bookings, Packages & Cancellations

3.1 Bookings: All classes must be booked in advance via our booking system on our website, in2, or through our mobile application. Spaces are limited and available on a first-come, first-served basis.

3.2 Group Session Cancellations: Cancellations must be made at least 12 hours before the scheduled class time to avoid forfeiting the session. Late cancellations or no-shows will result in a lost credit. In the unlikely event that any session is cancelled by the studio, we will inform each client 12 hours before the scheduled class and award each client a complimentary session.

3.3 Private Session Cancellations: Cancellations must be made at least 24 hours before the scheduled class time to avoid forfeiting the sessions. Late cancellations or no-shows will result in the full session fee being charged.

3.4 Memberships & Class Packs: Any introductory offers or multi-class packs are non-refundable, non-transferable, and valid for a limited period (as stated at purchase). Extensions will not be granted unless under extenuating circumstances at management discretion. Class Packs must only be used by the original purchaser and one other member of family or friends, any additional member would need to purcahse their own class package. Memberships or packages cannot be paused unless specified in the membership terms or approved by management.

3.5 Memberships: Memberships are monthly, non-transferable, and non-refundable. Unused classes do not roll over to the following month. Memberships renew automatically unless canceled at least 7 days before the next billing cycle. Memberships may be paused twice per year for up to 20 days, with prior written notice.

4. Credit Transfers & Errors

4.1 Incorrect Purchases: If you accidentally purchase the wrong class pack, contact us at info@swans.com.sa. We will review and amend genuine errors where possible.

4.2 Class Credit Reallocation: Any reallocation of credits is at the sole discretion of management and not guaranteed.

5. Health & Safety

5.1 Medical Conditions: Clients must inform instructors of any injuries, pregnancies, or medical concerns before class begins. Swan Studio is not liable for any incidents arising from withheld medical information. All clients agree to practice within their personal limits and follow instructor guidance.

5.2 Pregnancy & Postnatal: Not all classes are suitable for prenatal/postnatal clients. Please contact us before booking if you are pregnant or recently postpartum.

5.3 Hygiene: All equipment is cleaned regularly. Please avoid entering the studio rooms with your shoes on, please keep all shoes in the shoe-racks or the locker room.

6. Refunds & Liability

6.1 Refunds: All purchases are non-refundable unless required by law. Refunds due to studio errors will be assessed case by case.

6.2 Studio Closures: In the event of a temporary studio closure (e.g., for maintenance or emergencies), credits may be extended or paused.

6.3 Liability: By attending classes at Swan Studio, clients agree to take full responsibility for their own health and physical condition. Swan Studio, its instructors, and employees are not liable for personal injury, loss, or damage sustained during participation.

6.4 Personal Belongings: All personal belongings must be stored safely in the locker-room or kept with you. Swan Studio is not responsible for the loss, damage or theft of personal belongings.

7. Privacy & Communication

7.1 Data Protection: Personal information will be stored securely in accordance with our Privacy Policy and only used for class bookings, studio communications, and relevant marketing.

7.2 Opt-Out: Clients may opt out of marketing emails or texts at any time via the unsubscribe link or by contacting info@swans.com.sa.

8. Amendments to Terms

8.1 Policy Changes: Swan Studio reserves the right to amend these terms at any time. The latest version will always be available on our website.
